Shipping & Delivery Policy

How we deliver digital services, software, designs and physical goods — across South Africa via our SA courier partners, and globally via international carriers. Plain rules, transparent costs, no surprises at the door.

One policy, two delivery types.

Sitect delivers mainly digital services (software, designs, contracts, code). Where physical goods are involved — through our products like BestDealz, UrbanFind, or merchandise — this policy also covers shipment, courier partners, costs and timelines.

1 Scope of this policy

This Shipping & Delivery Policy applies to:

  • Digital deliverables from Sitect (Pty) Ltd professional services — source code, designs, contracts, content, access credentials, training materials and access to SaaS products.
  • Physical goods sold or shipped by Sitect or any Sitect-operated brand (BestDealz, UrbanFind, LocalHands service items, branded merchandise, hardware as part of HelixDash add-ons).
  • International orders shipped outside South Africa.

For purchases made directly on a Sitect product (BestDealz, UrbanFind, etc.), product-specific shipping terms displayed at checkout take precedence where they differ.

2 Digital deliverables

For digital services and SaaS products, "delivery" is the moment the Deliverable becomes accessible to you. We deliver digital goods through:

  • Source code — pushed to your GitHub / GitLab / Bitbucket repository under your control, MIT-licensed by default.
  • Design files — shared via Figma at edit-permission level, plus downloadable PDF / PNG / SVG exports.
  • Contracts & invoices — emailed as signed PDFs and accessible in your client portal.
  • Access credentials — username, password, API key, OAuth client — shared via 1Password share-link (expires in 7 days) or end-to-end-encrypted email.
  • SaaS access — account provisioned, welcome email with login link sent within 1 hour of payment confirmation.
  • Mobile apps — TestFlight invite or Play Store internal-test access sent within 24 hours of milestone sign-off.

Digital delivery is considered complete when the deliverable is accessible to the Client's nominated contact and confirmed via written acceptance (or deemed acceptance per our Terms).

3 Physical goods

Sitect ships physical goods in the following scenarios:

  • BestDealz orders — global sourcing items imported and delivered to SA addresses.
  • UrbanFind orders — local multi-vendor marketplace items, dispatched directly by sellers.
  • HelixDash POS hardware — POS terminals, barcode scanners, receipt printers shipped to your premises.
  • Branded merchandise — occasional Sitect / product-brand merch (mugs, notebooks, T-shirts) for clients and partners.
  • Printed materials — printed case studies, marketing collateral, signed contracts (where physical signatures are required).

All physical goods are dispatched within the timelines below and tracked end-to-end via our courier partners.

4 Our courier partners

We use established South African and international couriers, picked per shipment by route and time-sensitivity:

For BestDealz import shipments, the inbound leg (foreign supplier → SA warehouse) is handled by our consolidated freight partners (sea for bulk, air for urgent). The SA last-mile is then handled by one of the partners above.

5 Delivery timelines

SA mainland working days (excluding weekends and public holidays). Working day starts at the next 12:00 cut-off after we receive the order:

Times are courier estimates, not guarantees. Loadshedding ramps, weather, courier-network congestion (especially around Black Friday and December) can extend timelines.

6 Shipping costs & free-shipping thresholds

Shipping costs are calculated at checkout based on weight, dimensions, delivery address and service level. Indicative costs (incl. VAT):

Free shipping

  • BestDealz / UrbanFind orders over R1 500 — free standard shipping within SA mainland.
  • Sitect HelixDash POS hardware — free delivery anywhere in SA on bundle orders over R8 500.
  • Sitect business merchandise — free with active retainers above R15 000/mo.

7 Tracking & updates

Once your order is dispatched, we send:

  • An email with the tracking number and a link to the courier's tracking page.
  • A WhatsApp message (if you opted in) with status updates: dispatched · in transit · out for delivery · delivered.
  • An SMS on the morning of delivery (where supported by the courier).
  • An in-app notification in the relevant Sitect product dashboard.

You can also track any order through your customer account on the relevant Sitect product website.

8 Risk & insurance

Under section 19 of the Consumer Protection Act, risk in goods passes to the consumer only on delivery. Until delivery is complete:

  • Goods remain at our risk during transit.
  • Standard transit insurance covers parcels up to R5 000 in declared value at no extra cost.
  • For higher-value shipments, additional insurance is added automatically (cost transparent on the invoice) — typically 1.5% of declared value.
  • For BestDealz import shipments, marine/air insurance covers the international leg; SA last-mile insurance applies on top.

If a parcel is lost or damaged in transit, we either replace or refund — see section 11.

9 Delivery address

You are responsible for providing an accurate and complete delivery address. We do not deliver to PO Boxes (other than via SA Post Office). Where the address is incorrect or incomplete:

  • The courier attempts redelivery up to 2 times.
  • After failed redelivery, the parcel is returned to our warehouse.
  • A re-shipment fee applies for re-dispatching (typically R85–R165 depending on service).
  • If you opt to cancel instead of re-ship, a refund applies less the original delivery cost.

You may change the delivery address before dispatch by contacting us. Once the parcel is in transit, the courier's redirect rules apply (usually a fee).

10 Delivery delays

While we work with reliable couriers and aim to dispatch within the agreed window, delays can happen — particularly during:

  • South African public holidays and the December peak.
  • Black Friday / Cyber Monday courier-network congestion.
  • Loadshedding Stage 5+ affecting courier sorting hubs.
  • SAA / Comair / FlySafair flight cancellations (for next-day intercity).
  • Customs delays on international shipments.
  • Force-majeure events (see our Terms).

If a delivery is more than 5 working days past its expected date, contact us at shipping@sitect.co.za with your tracking number and we will investigate within 24 hours.

11 Damaged or lost shipments

Under sections 55 and 56 of the Consumer Protection Act, you are entitled to receive goods that are of good quality, in good working order and free of defects.

If your parcel arrives damaged

  1. Note the damage on the courier's delivery receipt before signing for it (if possible).
  2. Take photos of the packaging and the damaged goods.
  3. Email shipping@sitect.co.za within 48 hours of delivery with photos and your order number.
  4. We will arrange collection of the damaged item and re-ship a replacement, or process a full refund — your choice.

If your parcel is lost in transit

"Lost" means the courier confirms it cannot trace the parcel after a reasonable investigation (typically 7–10 days for SA, 21 days for international). Once confirmed lost:

  • We claim against the courier's transit insurance.
  • We immediately re-ship a replacement (at our cost) or refund in full — your choice.
  • Where the item is out of stock, you may wait for restock or accept the refund.

12 Returns & refunds

Right to return defective goods

Under CPA section 56, if goods do not conform to spec or fail within 6 months of delivery, you may return them for repair, replacement or refund (your choice). Return shipping is at our cost in these cases.

Cooling-off period (distance sales)

For consumer purchases made online (CPA section 44), you have 7 business days from delivery to cancel and return the goods for a full refund of the purchase price, provided they are returned in their original condition. Return shipping is at the consumer's cost for non-defective returns.

Items not returnable

  • Goods custom-made or personalised to your specifications.
  • Perishable or short-shelf-life products.
  • Digital downloads or SaaS subscriptions after access is provided.
  • Goods sealed for health/hygiene reasons that have been unsealed.
  • Software, configuration services or other services that have been performed.

How to return

Email shipping@sitect.co.za with your order number, item and reason. We send a returns label and instructions. Refunds are processed within 7 business days of receiving the returned item.

13 International shipping

We ship internationally to most countries with reliable courier coverage. Available services:

  • DHL Express — 3–7 working days door-to-door, fully tracked, insured.
  • FedEx / UPS — 5–10 working days, tracked, insured (alternate route options).
  • Economy sea freight — 21–45 days, for bulk / non-urgent orders, lower cost.

International shipping costs depend on weight, dimensions and destination. Quoted at checkout. We do not currently ship to countries under international sanctions or where shipping is impractical (Antarctica, certain conflict zones).

14 Customs duties & taxes

For South African customers

SA VAT is calculated and included in the order total. For BestDealz import shipments, all SARS customs duties and VAT are pre-paid by us and rolled into the all-in ZAR price you see at checkout. You will not be asked to pay additional customs charges on delivery.

For international customers

Goods shipped from South Africa to your country may attract local import duties, VAT or other taxes levied by your country's customs authority. These charges are your responsibility — we cannot calculate them in advance and they are not included in the order total.

If you refuse to pay customs charges and the parcel is returned to us, we will refund the order value less return-shipping costs (typically 20–40% of the order value).

15 Product-specific shipping terms

Each Sitect-operated brand may have its own shipping rules and timelines, which take precedence over this policy where they differ:

  • BestDealz — global sourcing into SA. Customs & duty pre-paid. SA last-mile via Aramex/TCG/Pargo/Pudo.
  • UrbanFind — multi-vendor marketplace; sellers may handle their own shipping with their own timelines. Same-day delivery in select SA suburbs.
  • LocalHands — services marketplace; no physical shipping (contractors travel to your premises).
  • HelixDash — POS hardware add-ons shipped to merchant premises within 3–5 working days.
  • PowerWeb — digital-only product; no physical shipping.
